Our Privacy Statement explains how Aadi Shankar Vedic University (Vedic University) processes your personal data. This Privacy Statement applies to personal data that you provide us or the data we obtain via our website. This Privacy Statement may change so we request our readers to check the ‘Last Updated’ on the top of this page.
1. About Vedic University
Aadi-Shankar Vedic University is the educative initiative of our esteemed organisation ‘Stichting International Adi Shankracharya Research & Awareness Foundation’. We are registered with the Chamber of Commerce (also known as ‘Kamer van Koophandel’ in the Netherlands) in The
Hague, Netherlands with KvK number: 67805000. We are the controller for the processing of your personal data when you visit our website. As a data controller, we process your personal data in a secure manner. Vedic University collects data and information about you from its website
www.vedicuniversity.nl. We call this ‘personal data’. We understand the protection of your personal data is very important and we keep it well protected. We comply with applicable laws and regulations in the field of privacy, such as the General Data Protection Regulation (hereinafter we abbreviate this as ‘GDPR’). Our Executive Board is responsible for the processing operations discussed in this Privacy Statement as per the norms of General Data Protection Regulation (“GDPR”). This means that the Executive Board (‘Vedic University’, ‘we’ or ‘us’) decides which personal data to process, for what purpose the data will be processes and in what manner the data will be processes. 2. What personal data do we process?
This Privacy Statement provides information about the processing of personal data of Aspiring Students, Admitted students (or students), parents of (aspiring) students, participants in research if the data is not obtained from the data subjects themselves and visitors to our websites. ‘Aspiring students’ is anyone who registers for any of our activities (for example, Workshop etc.) and students who have already registered for course, but that student has not started the study yet. This may include the contact details, data about whether or not you are looking for a study and your website navigation behaviour. We also place cookies (if necessary after your permission). We ensure that the student’s payment and personal data is well-protected. We do not publish our student’s data anywhere. But we can use our customer data as provided to us in i Deal profile, Payment Gateway provider, taking on the role of Data Controller under the GDPR. Personal identification information (Name, email address, phone number, etc.) Your payment information from Payment Gateway when you pay your fees, admission fees, examination fees etc. via online order with us on our website. We process the following personal data of aspiring students along with other details:
• Name, Residence Address
• Telephone number, e-mail ID
• Date of birth, Gender
• Parent’s name
• Bank and Payment details (from which they will be making the fees)
• ID Proof, previous academic details along with proof
• Course Interest, Progress and other academic details
• Complaint, Request etc.
• login details (user account & IP address)
We process, among other things, the following personal data of visitors to our websites:
• Website visits and behaviour of navigation on website
• IP address
• duration and time of the visit to the website
• use of social media
• In the context of (scientific) research, we may process additional personal data per
research in addition to the above personal data. The nature and scope of the personal
data may differ per research. More information about this will be provided with the
relevant research.
3. For what purposes do we process personal data?
We process personal data for the purpose of our services, in the context of education and research. We must also comply with legal obligations for which we process your personal data. The personal data provided by our students are processed for the following purposes:
• Registration for educational purposes
• Providing online Education and Online examinations
• Processing of requested study information or publications
• Support with orientation Course choice
• Study Guidance
• Administration of registrations, enrolment fees and tuition fees collection
• Monitoring, and Guidance of Course progress
• Providing information about study-related conferences, seminars, etc.
• Sending e-mails for newsletters, invitations, surveys, information about your account,
your course progress status and other important information from Vedic University;
• for handling Complaints and requests
• to improve the quality of education, by conducting surveys etc.
• Nomination for Awards, or Memberships.
The personal data provided by visitors to our websites are processed to improving user
experience on our websites.
4. Basis for processing
We process your personal data (on the grounds mentioned by GDPR) on the basis of your permission as per the contract you had signed at the time of enrolment & admission. If you do not provide certain personal data, you may not be able to experience all functionalities of the website.
Contract: We will need to process personal data in order to perform certain activities. For example, the processing of personal data in related to the contract between Vedic University and student, and the processing of personal data in related to the collection of tuition fees. Legal obligations: we must process (retain or provide) certain personal data based on the Higher Education and Scientific Research Act, the General Administrative Law Act, the Higher Education and Scientific Research Funding Regulations and Tax Legislation. Task of General Interest: It is essential to process personal data to provide you education. We process the personal data that are essential to facilitate the educational services such as Creating Time-Table, Grading List, Managing Course Syllabus etc. Legitimate interest: We process personal data if this is necessary for the legitimate interests of
Vedic University or a third party such as payment provider.Consent: If the processing of personal data does not fall under one of the aforementioned
grounds, we will ask your consent to process certain personal data. For example, in case of cultural exchange program in collaboration with another university or education provider, we always ask and ensure students to fill the consent form. You have the right to withdraw your
consent anytime.
5. To whom does Vedic University provide personal data?
Your personal data will only be used by Vedic University. In some cases, we share your personal data with other important parties such as Government agencies: If we are legally obliged or a court asks us to share personal data with other government agencies. This may include the Tax and Customs Administration, the Education Executive Agency (DUO), the police or a supervisory authority. The Vedic University is careful in providing personal data and only provides personal data to which it is legally obliged. Other educational and research institutions: Vedic University may share your personal data with other educational and research institutions if it is necessary for the education or to conduct academic research. This may include in case of joint degree program (in which another university or other educational institution is involved), education exchange programme & cultural exchange program. Vedic University makes written agreements with these parties about the processing and security of personal data.Third parties Vedic University shares personal data with third parties to carry out important tasks such as software development and maintenance provider (IT team), administration, payment Gateway provider to process your payment, Nominations team and Awards processing. 6. Processing of personal data outside the EU
Vedic University tries to process your data only within the European Union (‘EU’) by storing your data on a server in the EU as much as possible. Sometimes this is not possible, for example if we transfer data to a university outside the EU after permission has been granted. If we engage processors, we require them to store personal data on servers in the EU. Where this is not possible, we take the necessary measures to provide an appropriate level of protection for the protection of your personal data.
7. Your rights with regard to personal data
If we process your personal data, you have the right under certain circumstances to view, correct, delete or limit it. As per GDPR, you have the right to object or request transfer of your personal data. To make a request to us in this context, you can contact us at info@vedicuniversity.nl. To process your request faster and with protection, we may ask you to identify yourself first. Viewing and Correcting: if you want to know whether we are processing your personal data correctly or if you want to adjust your personal data, you can contact us to view or correct your personal data. Deleting: You can request for deletion of your data. In some cases, we must retain your personal data, for example due to a legal obligation, to facilitate education or to ensure (once) that you no longer any information from us. Restriction: You have the right to request to restrict the processing of your personal data. If you believe that your personal data is incorrect, the processing thereof is unlawful, you need it for a
legal claim or you have objected to the processing thereof. Objection: You have the right to object to further use of your personal data on the basis of your specific reasons in case we process your personal data on the basis of a general or legitimate interest. Objection to communications: If you no longer wish to receive communications from us via email or other electronic communications, you may opt out by clicking on the unsubscribe link
in any email message you receive. You may also opt out by contacting us.
8. How do we protect your personal data?
We apply a strict data protection policy to ensure that your data is protected against loss or any form of unlawful processing. We take appropriate physical, technical and organizational measures to protect data. We do employees screening if required. We are obliged to maintain confidentiality. Your personal data can only be viewed internally by responsible employee who need your data to properly implement admissions, study courses etc. If we use third parties for the processing of personal data, we check whether that party has an adequate level of security. If, despite the strict security, something does go wrong, we will resolve the incident as quickly as possible and take measures to prevent recurrence. We report data leaks that result in a risk to the rights and freedoms of data subjects to the Dutch Data Protection Authority.
9. How long do we retain your personal data?
We do not store your personal data for longer than necessary for the purposes for which we use your personal data. We are required by law to store some data for a certain period of time. It may be that we – after deregistration from your study – have to retain certain personal data for
our administration or due to a legal obligation.
